Q: We’re about to select suppliers to our project, and we want to run a proper Tender Process to do it. Can you please tell us what this entails?
A: Using out project management process, you can appoint preferred suppliers to your project quickly and easily. Firstly, you document what exactly it is that you want to outsource to suppliers, within what is called a “Statement of Work”. This states the work that needs to be competed by the supplier, in order to fulfill your needs for the project. Next, you need to issue a “Request for Information” which documents the process that they need to go through, to submit you a proposal for the work to be completed. You then review their proposals and if you n eed more detailed information in order to select a prefferred supplier, then you and a “Request for Proposal”. And finally, you select and appoint the supplier by agreeing a formal supplier contract.

A: The project closure phase is usually rushed by project managers and teams, even though they often use project management methodologies. In our project management methodology, you need to take these step to make sure that your project is closed quickly and efficiently. First, review the project completion criteria to determine whether it’s ready for closure. Then if it is, identify any outstanding items and hand the deliverables and final project documentation over to the customer. Q: We’re conducting a review of a project that has completed, to determine its level of success. Can you please provide any pointers, so that we may do it correctly?
A: Upon project management completion, you can use our project management software to perform what is called a post implementation review, or post project review. This review will determine whether the project met the stated objectives, produced the required deliverab les and fully satisfied the customer. It will also determine whether the project ddelivered on time and within budget, stayed within scope, and conformed to any specified guidelines or standards set out.

Q: We have nearly completed our project and we think we are ready to close it. What steps should we take in deciding whether or not to close the project?
A: Easy. You need to complete a Phase Review. Our project management process will help you do this. First, you need to determine if all of the project deliverables have been completed and signed off by the customer. Then determine if the full scope of the project was delivered and whether you have met your project objectives. And only at that point, assuming that your customer is happy, you have met your objectives, can you decide to close your project formaly.

Q: What is the project management process for issuing communications messages in a project?
A: Although there are dozens of types of communications, the manner in which you communicate with your project stakeholders and team members is the same. First, you need to identify the message content (“what” you want to communicate), then the message audience (“who” to communicate to), then identify the message timing (“when” the message should be sent) and the format of the message (“how it should be sent). You then need to create the message, get it approved and communicate it. And finally, you always need to get feedback to determine whether the message was received and interpretted accurately.
